5 Questions to Ask Before Buying Field Service Management Software

Choosing field service management software is a bit like buying a car. Everything looks brilliant on the forecourt, and nobody mentions the dodgy gearbox until you're stuck on the M1 in the rain.

Vendor demos are designed to impress, which makes it tricky to tell which systems will cope with a real Tuesday. So, before you sign anything, put these five questions to every supplier on your shortlist. They take minutes to ask and could save you months of regret.

1. Will it still work when the signal drops?

It should, and you want to see it happen rather than take a salesperson's word for it.

Your engineers work in basements, plant rooms, and farmyards, not fibre-lit offices. Ofcom's latest figures put good 4G coverage from all four mobile networks at 84% of the UK's landmass, which leaves roughly one-sixth of the country where at least one network falls short. Guess which one your technician's phone is on.

Ask to see the mobile app running in flight mode. Can your team open jobs, complete forms, and capture photos and signatures, then have everything sync once they're back in range? If the answer starts with "it depends", keep looking.

2. Does it fit how you work, or will you have to fit it?

Choose software that adapts to your processes, because rebuilding your business around a tool rarely ends well.

The government's SME Digital Adoption Taskforce found that technology products often feel built for larger enterprises. Sound familiar? Think of the system with 200 features and no way to add the one field you actually need.

Ask what happens when your process doesn't match the template. Can you change forms, workflows, and job types yourself, or is every tweak a paid change request and a six-week wait? This is where a no-code approach earns its keep, because your own team can shape the system without a developer on speed dial. 3. Will it play nicely with the tools you already use?

It should connect to your accounting, CRM, and stock systems without anyone copying data between screens.

Analyst firm Gartner describes field service management as software that ties into wider service planning, including contract management, warranty, and parts management. In other words, it shouldn't live on an island.

Ask which integrations already exist, how they work (a proper open API, or a CSV export and a prayer?), and who fixes things when they break. Re-keying data is how typos, disputed invoices, and sighs at 4:55pm on a Friday are made.

4. Will your engineers actually use it?

Only if it's easier than what they do now.

The best system on earth is useless if the team quietly drifts back to WhatsApp and paper job sheets. Be the Business, a joint government and industry body, has found that employees are often resistant to adopting new systems, and the SME Digital Adoption Taskforce also points to a lack of confidence and expertise when it comes to putting new tools into practice.

So ask about onboarding, training, and what support looks like after go-live. Better still, let one or two engineers test-drive the mobile app during your trial. They'll spot in five minutes what a demo won't reveal in an hour, and people tend to back tools they helped choose.

5. Is your data safe, and can you take it with you?

You want a clear yes to both.

Government research shows that 43% of UK businesses identified a cyber security breach or attack in the past year, yet the same survey found that only 22% considered cyber security to a large extent when buying software. Be in that 22%. Ask where your data is hosted, how it's protected, and how access is controlled for each user.

Then ask the question few people think of: what happens if you leave? The taskforce also flagged that switching from one technology to another feels too risky for many SMEs, and called for clear, practical processes for data portability. Make sure you can export your customer, job, and asset history in a usable format, without a fee or a fight.
